Getting started

From a new account to your first invoice

Six steps, about thirty minutes, all on the free plan. Each one takes the screen named in bold.

  1. Create your account

    Sign up at milebrain.com/app with your company name, your name, a phone number and an email. No card is asked for; the first truck is free.

  2. Add your truck

    Open Trucks and add the unit number, plate and the fixed costs you know (note, insurance, plates). Those costs are the first half of your breakeven per mile.

  3. Add a customer

    Open Customers and add the broker or shipper: name, MC number, payment terms. One tap checks the MC against FMCSA's public record.

  4. Book your first load

    Open Loads and add it by hand, or scan the rate confirmation and let the fields fill in. Check the rate against your breakeven before you tap Add.

  5. Log fuel as you go

    At every fuel stop, photograph the receipt or type gallons, dollars and the state. MPG, cost per mile and the IFTA table update from that one entry.

  6. Invoice the delivery

    When the load delivers, check out at the last stop and tap Invoice. It is numbered, ready to print or download, and lands on the Chase these payments list until it is paid.

Common questions

What should I enter first?

Add the truck and employee who will do the work, then add the customer and load. Once a load exists, record pickup and delivery times as they happen. Those records power the reports, alerts and Brain answers.

Why does an answer say there is not enough data?

MileBrain refuses to invent a number. Some measures need at least three delivered loads or three usable events. The answer will show the raw records and tell you what is still missing.

Can a driver see company money?

No. Drivers see their assigned loads and driver workflows. Company roles, rates, invoices, settlements and exports stay behind the server-side permission checks.

How do I get help from a person?

Open More → Help from MileBrain in the app, or email support@milebrain.com. Include the screen name and what you expected to happen; never send a password or secret key.

Do I need hardware?

No hardware is required. MileBrain is a browser app for phone, tablet and desktop. Optional browser location, dictation and notifications are explained before they are enabled.

For billing, review the exact total in More → Billing before confirming. For compliance, MileBrain stores your evidence and reminders but does not run MVR/Clearinghouse queries or file Form 2290.
