These terms are the deal between you and MileBrain when you use milebrain.com and the MileBrain app. Short version: run your trucking company on it, keep your account honest, don't attack the service, and your data stays yours. The longer version is below. By creating an account or using the service, you agree to these terms.
1.The service
MileBrain is trucking management software for owner-operators and small fleets. It gives you a dispatch board, a breakeven engine that learns your true cost per mile, one-tap invoices, fuel and IFTA logging, repair and maintenance records, driver and truck management, and a daily briefing — on phone, tablet, or desktop.
MileBrain is a record-keeping and business tool. It is not legal, tax, or accounting advice. Your IFTA filings, taxes, and compliance obligations are yours — the software helps you build the numbers, but you are responsible for what you file.
2.Your account
- Give us accurate information when you sign up and keep it current.
- Keep your password safe. Anything done under your login is on you, so don't share credentials — add drivers and teammates through the app instead.
- One company per account. If you run more than one operation, set up a separate account for each.
- Tell us at support@milebrain.com right away if you think someone got into your account.
3.Your data
Your loads, customers, invoices, fuel logs, repair records, and driver info belong to you. Not to us. We store and process that data for one reason: to run the service for you.
- You can export your data anytime — CSV exports and a one-file backup are built into the app.
- We never sell your data. Period.
- We don't dig through your business records except to operate the service, fix a problem you've asked us to look at, or meet a legal obligation.

4.Acceptable use
Use MileBrain to run your trucking business. Don't:
- abuse, harass, or defraud other people through the service;
- store or transmit unlawful content;
- attack the service — no hacking, scraping at scale, probing for holes, overloading our servers, or trying to get into accounts or data that aren't yours;
- copy, reverse-engineer, decompile, scrape or resell the service, its code or its content — see section 9;
- resell or rebrand the service as your own.
5.Early access & pricing
- Free is $0/month — one truck, one employee, unlimited customers and loads, and 10 AI questions or quote replies per month. No card needed.
- Brain is $15/month — unlimited AI questions and quote replies, subject to fair-use rate limits and availability, for one truck and one employee. Document scanning has separate limits.
- Pro is $30/month including 2 trucks, then $15 per additional truck. Brain and unlimited employees are included. Billed monthly; cancel any time and saved records remain.
- New owner accounts get a 14-day Brain trial with no card and no automatic charge. Existing subscriptions keep their agreed pricing unless a change is approved. Stripe shows prorated adjustments; PayPal changes require approval and start at the next billing cycle.
- Founding members keep free Pro during early access. If your account was created before Pro billing launched (September 7, 2026), Pro is complimentary for you while early access lasts, and you'll get at least 30 days notice before that changes.
- If anything about paid pricing changes, we'll give you at least 30 days notice before it affects what you pay. No surprise charges.
6.Availability & warranty
We work to keep MileBrain up and running, and the app takes automatic daily snapshots of your data. But we're giving it to you straight:
- The service is provided "as is" and "as available." We make no warranty that it will be uninterrupted, error-free, or fit for a particular purpose.
- Back up regularly. The one-file backup is right there in the app — use it. Your business records are too important to keep in only one place.
- To the extent the law allows, MileBrain is not liable for indirect, incidental, consequential, or special damages — including lost profits, lost loads, or lost data — arising from your use of the service.
7.Termination
You can leave anytime. Export your data, close your account, no hard feelings and no exit fees. Your data goes with you.
On our side: we may suspend or terminate accounts that break these terms — especially the acceptable-use rules in section 4. Where it's reasonable to do so, we'll warn you first and give you a chance to export your data.
8.Changes to these terms
If we change these terms, we'll post the updated version on this page with a new effective date. For changes that matter — anything touching your data or your money — we'll make the change easy to notice. Keeping to use the service after a change takes effect means you accept the updated terms.
9.Intellectual property
Copyright © 2026 MileBrain. All rights reserved. The Service — its software, design, text, graphics, icons, and the MileBrain name and logo — is owned by MileBrain and protected by copyright, trademark and other laws. Your data stays yours (section 3); everything else stays ours.
Your account gives you a limited, personal, non-transferable licence to use the Service for your own trucking business. You may not copy, reverse-engineer, decompile, disassemble, scrape or resell the Service, or any part of it, or use it to build a competing product. We may end that licence for any breach of these terms.
