Privacy Policy
Effective September 13, 2026 · the short version: your data is yours, we don't sell it.
Plain English first. MileBrain stores your trucking records so the app can work for you. We don't sell your data, we don't run ad trackers in the app, and you can export everything or delete it whenever you want. The sections below spell that out.

1. What we collect
Two kinds of information, and only what the app needs to run:
- Account information. Your email, name, phone number, company name and sign-in information. We also keep account activity and subscription status needed to operate the service.
- Business records you enter. The loads, customers, trucks, expenses, and photos you put into MileBrain — dispatch records, fuel stops, repair history, receipt photos, invoices, driver and pay data. You typed it, you photographed it, it's yours. We just store it so the app can do its job.
Location and incident reports. Location sharing is optional and runs through the open app. MileBrain stores the latest shared position, treats positions older than 20 minutes as stale, and deletes the position when you stop sharing. Nearby weather checks send a position rounded to 0.01 degrees to the National Weather Service. Arrival suggestions keep a temporary stationary anchor in the page; the driver must confirm an arrival. Breakdown and accident reports retain the locations, observations, contact details and photos you choose to record as business records.
Driver qualification files. Company owners and admins record private qualification entries and document photos. Linked drivers can read their own core file; previous-employer investigation material is restricted to owners/admins. Saved entries and images are preserved, with corrections added as new entries. Qualification files are excluded from ordinary data feeds, assistant context, bookkeeper exports and platform backup exports. Company owner/admin exports include them. Marking an employee Inactive retains the file; deleting the entire company deletes its stored files, so export any legally required records first.
Who sees reports. Breakdown reports are available to authorized office users and the repair shop assigned to the truck; shop views omit the load and customer details. Accident reports and their photos are available to the reporting driver and company owner/admin. A filed accident report is read-only. Filing does not send it to police or an insurer.
Optional dictation and drafts. Browser dictation may send audio to your browser’s speech-recognition provider. MileBrain receives the resulting text. Breakdown drafts can be saved in browser-tab storage; attachments upload when added. Accident drafts save to your company account.
We don't scrape anything else. No contact lists, no location tracking in the background, no data bought from third parties.
2. How we use it
One purpose: to run MileBrain for you. Your records power your dispatch board, your breakeven numbers, your invoices, your IFTA table, your maintenance alerts. Nothing else.
- We do not sell your data. Not to brokers, not to advertisers, not to anyone.
- We do not share it with ad networks.
- We do not mine your rates, lanes, or customers for anybody else's benefit.
3. Cookies
In the app: one session cookie, and that's it. It keeps you signed in so you don't have to log in every time you open the app. The app sets no tracking cookies and no third-party pixels. This marketing site loads fonts and scripts from third-party CDNs (Google Fonts, jsDelivr, cdnjs), which receive your IP address when a page loads — standard web plumbing, not tracking we run.
4. Where your data lives
Cloudflare hosts MileBrain, its database and AI processing. Submitted documents and AI requests are processed to provide the features you use. Stripe or PayPal processes subscription payments through the payment option you select. Your data is encrypted in transit between your device and our servers.
5. Your controls
Your data is yours, so the exits are always open:
- Export. Authorized roles can export company records from the app. Private accident reports and photos are included only in company owner/admin exports. Drivers can view and print their own accident reports.
- Delete. Account owners can use Delete account in the app, or contact support@milebrain.com. Deleting the company account removes its records. Business records an employee created in another company belong to that company; contact its owner about those records.
6. Email
We only email you about your account and the service — things like receipts, security notices, and changes that affect how the app works for you. We don't run marketing blasts to your inbox, and we never hand your address to anyone else.
7. Changes to this policy
If this policy changes, the new version gets posted here with a new effective date. Check this page for the current version.
